Question 1

What is Career Capybara?

Accepted Answer

Career Capybara is a connected workflow designed to unify your job search process. Instead of jumping between spreadsheets, document editors, and browser tabs, it brings applications, resumes, interview prep, and feedback into one source of truth. By keeping these elements connected, you can run a more disciplined search and learn from every application attempt.

Question 2

Where should I start first?

Accepted Answer

Most users find the most immediate value by starting with the applications board or the resume workspace. Once your core job records and master resume are in place, you can naturally expand into extension-assisted execution and interview prep loops. This staged approach ensures your data is organized before you begin the active application and interviewing phases.

Question 3

Do I need to build my resume before I create applications?

Accepted Answer

No. You can start by tracking applications first and add your master resume once you are ready to tailor materials. The workflow becomes stronger when both are connected, but Career Capybara does not require a perfect setup before you begin using it. If you are already applying, creating a few real application records is usually the fastest way to get useful value.

Question 4

How do I create my first application record?

Accepted Answer

You can create your first record manually via the "Add Application" button on your board or by using the Career Capybara Chrome extension to save a job directly from a job board. If you use the extension, it will automatically pull the job title, company name, and description into your record to save you time. Once the record is created, you can begin adding notes, linking resumes, and setting follow-up reminders.

Question 5

Can I import existing applications from a spreadsheet?

Accepted Answer

Yes, we offer a CSV import tool that allows you to bring your existing job search data into Career Capybara without manual entry. Simply export your current spreadsheet as a CSV file and map your columns to our application fields during the upload process. This makes it easy to transition your search from a static spreadsheet to our dynamic, connected workflow in just a few minutes.

Question 6

Is Career Capybara free to use?

Accepted Answer

Career Capybara offers a robust free tier that includes access to core application tracking and a master resume workspace. This allows job seekers to experience the benefits of a connected workflow without any upfront cost. For users who need advanced features like multiple resume versions, deep interview prep, and enhanced extension capabilities, we offer premium subscription plans.

Question 7

Can I use manual entry and the extension together?

Accepted Answer

Yes. Manual entry and extension-assisted saving are meant to work together, not compete with each other. Many users create some records by hand, then use the extension on supported job pages when they want faster execution. The important part is that both paths lead back to the same application record.

Question 8

How long does it take to set up the first usable workflow?

Accepted Answer

Most people can get to a usable setup quickly if they keep the first session narrow. A common starting point is to create a few live application records, upload one master resume, and stop there before trying to configure every module. The system is designed to get more helpful as you add context over time, not to require a full day of setup upfront.

Question 9

What is the fastest way to move over from spreadsheets or disconnected tools?

Accepted Answer

The fastest path is to migrate only the opportunities that still matter instead of trying to recreate your entire search history. Start by importing or recreating active applications, then upload the master resume you are actually using right now. Once those two pieces exist in the same workspace, you can branch tailored versions and prep for interviews without rebuilding everything at once.

Question 10

Can I understand the product before I commit to Pro?

Accepted Answer

Yes. The free plan is intentionally strong enough to help you understand the core workflow before you pay for the deeper features. You can explore the board, the master resume workspace, and the structure of the interview tools without moving into a paid tier immediately. Pro becomes more useful once you are actively tailoring, sharing, and practicing against real roles.

Question 11

Do I need a new resume for every application?

Accepted Answer

While you don't need to write a new resume from scratch for every role, a targeted version that highlights relevant keywords and experiences usually performs much better. Career Capybara makes this easy by allowing you to branch role-specific versions from your master resume. This ensures you maintain a consistent professional brand while tailoring your message to specific job requirements.

Question 12

Can I share a tailored version for feedback before I apply?

Accepted Answer

Yes, you can generate a shareable review link for any specific resume version you've created. This allows mentors, peers, or hiring managers to provide feedback directly on the exact document you intend to use for a particular application. By keeping comments tied to the specific version, you avoid the confusion of managing multiple file copies and email threads.

Question 13

What is the difference between a master resume and a tailored version?

Accepted Answer

Your master resume is the source-of-truth document that holds the broadest view of your experience. A tailored version is a role-specific branch that emphasizes the parts of your background that matter most for one application. The goal is not to rewrite your entire story every time, but to reuse the same core material in a more targeted way.

Question 14

How does ATS scoring work?

Accepted Answer

Applicant Tracking Systems (ATS) scan resumes for specific keywords, formatting, and structural elements to rank candidates for recruiters. Career Capybara helps you optimize for these systems by providing insights into how well your resume matches a target job description. While no tool can guarantee a 100% score, our workflow encourages the use of clean formatting and relevant terminology that ATS algorithms prefer.

Question 15

What does JD match score actually tell me?

Accepted Answer

JD match is best understood as a directional signal, not as a hiring prediction. It helps you see whether the language, skills, and emphasis in your resume are aligned with the target role, but it does not mean the recruiter will automatically respond. The score is most useful when it helps you notice what is missing or overemphasized before you export the final version.

Question 16

Can I export my resume as PDF?

Accepted Answer

Yes, every resume version you create in Career Capybara can be exported as a high-quality, professional PDF document. Our export engine ensures that your formatting remains consistent and ATS-friendly across different devices and systems. You can also customize export settings to include or exclude specific sections depending on the role you are applying for.

Question 17

How many resume versions can I create?

Accepted Answer

On our premium plans, you can create an unlimited number of role-specific resume versions branched from your master resume. This allows you to tailor your applications for every single job you apply to without losing track of your source material. Free users also have the ability to create versions, though there may be a limit on the total number of active branches at one time.

Question 18

What makes a "tailored" resume different from my master resume?

Accepted Answer

A tailored resume is a modified version of your master resume that has been specifically adjusted to match a particular job description. This involves highlighting the most relevant skills, reordering bullet points to emphasize key achievements, and using the same language found in the job posting. While your master resume is your comprehensive history, your tailored resume is a focused marketing document for a specific opportunity.

Question 19

Why should a resume version stay linked to an application?

Accepted Answer

Linking the version to the application is what keeps the workflow from drifting into file chaos. It lets you remember which version was built for which company, and it makes later interview prep more grounded because the same role context can be reused. Without that linkage, it becomes much easier to send the wrong file or lose the reasoning behind your edits.

Question 20

Who is the feedback link really for?

Accepted Answer

The feedback link is meant for mentors, peers, coaches, or anyone giving you comments on one specific version. It is most useful when you want outside eyes on a document before you apply, or when you want to compare feedback across different role targets. Because the comments stay tied to that exact version, you do not have to manage competing copies over email.

Question 21

Should one application only have one main custom resume?

Accepted Answer

In most cases, yes. One application usually benefits from having one primary tailored version that acts as the current truth for that role. You may still iterate through v1, v2, and v3 while refining it, but the workflow is cleaner when those versions are understood as revisions of the same application-specific resume rather than completely separate documents.

Question 22

When should I regenerate a version instead of just editing the current one?

Accepted Answer

Use simple edits when you are tightening language, deleting weak bullets, or adding a few missing details. Generate a fresh version when the job target meaningfully changes, the role emphasis shifts, or the current resume is structurally misaligned with the JD. Regeneration is best for new direction; direct editing is best for refinement.

Question 23

Does Career Capybara give feedback during the session?

Accepted Answer

Our current focus is on providing high-quality, structured feedback immediately after your practice session concludes. This allows you to stay in "realistic mode" during the mock interview without being interrupted by notifications or corrections. Once the session is over, you can review each answer question by question to see exactly where you can improve.

Question 24

Why is answer review better than just running more mock sessions?

Accepted Answer

Practice is essential, but it only becomes truly effective when combined with careful, post-session analysis. Without a review loop, you may continue to repeat the same mistakes without realizing it or miss opportunities to strengthen your talking points. Structured review helps you identify patterns in your responses and build more impactful narratives over time.

Question 25

How does the personalized interview guide get generated?

Accepted Answer

The guide is generated from the role context you have already stored, especially the application details and linked resume. That lets the system focus on likely interview themes, probable question categories, and the specific parts of your background you may need to defend. The point is to make the prep feel attached to a real opportunity instead of a generic interview drill.

Question 26

How are interview questions generated?

Accepted Answer

Our system analyzes the job description and your linked resume to generate questions that are highly relevant to the specific role and company. By identifying the key skills and requirements of the position, we can simulate the types of behavioral and technical questions a recruiter is likely to ask. This ensures your practice sessions are grounded in reality rather than generic interview prompts.

Question 27

If I leave the interview guide page, will my generated questions still be there?

Accepted Answer

Yes, once the question set is generated for the application it should remain part of that workflow rather than acting like a temporary draft. That way you can come back later, review the same shortlist, and continue from where you left off. The goal is to make prep cumulative instead of forcing you to regenerate everything each time you revisit the page.

Question 28

Can I practice with voice or just text?

Accepted Answer

Career Capybara supports both voice-to-text and typed responses during mock interview sessions to match your preferred practice style. We recommend practicing with voice whenever possible, as it more closely simulates the pressure and flow of a real conversation. Regardless of the input method, our post-session review will provide you with a full transcript and actionable feedback on your answers.

Question 29

What kind of feedback do I get after a mock interview?

Accepted Answer

After each session, you receive a detailed breakdown that evaluates the clarity, relevance, and impact of your responses. We provide specific suggestions on how to restructure your answers using frameworks like the STAR method and highlight any missing information that could strengthen your case. This granular feedback helps you turn average responses into compelling narratives that resonate with hiring managers.

Question 30

What is the difference between a practice interview and an actual interview record?

Accepted Answer

Practice interviews are for rehearsal: they help you simulate likely questions, pressure-test your talking points, and improve before the real conversation. Actual interview records are meant to capture what really happened in a live interview so you can summarize the transcript, review your answers, and prepare better for the next round. Keeping the two separate makes it easier to learn from both without mixing mock and real outcomes together.

Question 31

Can I paste a transcript instead of recording one live?

Accepted Answer

Yes. Pasting a transcript is useful when you already have notes, a transcript from another call tool, or a written summary of what happened. Recording live is better when you want a more natural practice flow inside Career Capybara, but both paths can still lead into the same review-and-improve loop afterward.

Question 32

What happens after a session is finished?

Accepted Answer

After a session, the goal is not just to store the transcript but to turn it into something reusable. Career Capybara can break the session into questions and answers, surface patterns that need work, and help you identify stronger follow-up talking points. That way each session becomes preparation material for the next one instead of just a recording you never open again.

Question 33

How does interview prep stay connected to one application?

Accepted Answer

The strongest setup is when the guide, the mock session, and the post-session review all point back to the same application record. That keeps the role, company context, linked resume, and interview notes grounded in one opportunity instead of splitting them across tools. It also makes later rounds easier because you can see what version of the story you already used for that role.

Question 34

What is included on Free versus Pro?

Accepted Answer

Free is for learning and lightly using the core workflow, especially applications and one master resume workspace. Pro is for active search, when tailored versions, resume sharing, interview review, and extension access all start to matter at the same time. The distinction is less about "basic versus premium" and more about whether you are exploring the system or running your real process inside it.

Question 35

Is Expert Review part of the normal subscription?

Accepted Answer

No. Expert Review is treated as a separate human service layer rather than something bundled into the self-serve subscription. That keeps Pro focused on the software workflow and reserves human time for cases where you specifically want a real person to review a resume, an interview answer, or a search decision.

Question 36

What happens to my data if I cancel my subscription?

Accepted Answer

If you decide to cancel your subscription, your account will move to the free tier at the end of your current billing cycle. Your data remains secure and accessible, though you may lose access to premium features like advanced interview prep or unlimited resume branching. You can export your data at any time, and we will never delete your records unless you explicitly request account deletion.

Question 37

Can I switch plans mid-month?

Accepted Answer

Yes, you can upgrade or downgrade your subscription plan at any time through your account settings. If you upgrade, the new features will be available immediately, and we will prorate the difference for the remainder of your billing period. If you downgrade, the change will take effect at the start of your next billing cycle, ensuring you get full value from your current plan.

Question 38

Does my subscription renew automatically?

Accepted Answer

Yes, subscriptions renew on their normal billing cycle unless you cancel before the renewal date. This is the standard way recurring access is handled so that your workspace and features do not shut off unexpectedly in the middle of an active search. If you plan to step down, cancel before renewal so the change happens cleanly.

Question 39

What should I do if a payment fails or my billing looks wrong?

Accepted Answer

Start in your account billing settings to confirm the current plan and payment method. If the issue is still unclear, email support with the account email and a short description of what looks wrong so the team can investigate it directly. Billing questions are easier to resolve quickly when they include the plan name, the charge date, and whether the issue is a duplicate, failed renewal, or plan mismatch.

Question 40

Do you offer student or job-seeker discounts?

Accepted Answer

We understand that job searching can be a financially stressful time, and we are committed to making our tools accessible to those who need them most. We offer special pricing for students and individuals who have been recently impacted by layoffs or extended unemployment. Please reach out to our support team with proof of status to learn more about our current discount programs.

Question 41

Can I stay on the free plan for as long as I want?

Accepted Answer

Yes. The free plan is not a countdown timer that forces you into an upgrade after a fixed trial period. It is there so you can understand the workflow and use the lighter parts of the system at your own pace. People usually upgrade when their search gets active enough that the deeper resume, interview, and extension features start to matter.

Question 42

Where should I go for billing help versus product support?

Accepted Answer

Use billing support when the issue is about charges, renewals, plan changes, or discount eligibility. Use product support when the issue is about workflows, bugs, confusing behavior, or feature setup. If you are not sure which bucket it belongs to, emailing support with a concise summary is still the right move and the team can route it correctly.

Question 43

Will canceling my plan delete my account automatically?

Accepted Answer

No. Canceling a subscription and deleting an account are treated as different actions. Canceling affects your plan access, while account deletion is the step that removes your workspace data. That separation is intentional so you can step down to Free without accidentally losing your search history.

Question 44

Is my resume data shared with employers or recruiters?

Accepted Answer

No, Career Capybara is a private workspace for your personal job search, and we do not sell or share your data with third-party employers or recruiters. You have full control over who sees your resumes and application records through our shareable review links. Our business model is based on subscriptions, not on selling user data or candidate lists.

Question 45

How is my data stored and protected?

Accepted Answer

We use industry-standard encryption and security protocols to ensure that your personal information, resumes, and notes are protected at all times. All data is stored in secure, redundant cloud environments with strict access controls and regular security audits. We prioritize your privacy and continuously update our systems to defend against emerging threats and vulnerabilities.

Question 46

Can I delete my account and all data?

Accepted Answer

Yes, you have the right to delete your account and all associated data at any time through your profile settings. Once you confirm deletion, all of your application records, resumes, notes, and personal information will be permanently removed from our active databases. We believe that you should have full ownership of your data, including the right to be forgotten if you choose to leave the platform.

Question 47

Is my data used to train third-party AI models?

Accepted Answer

Career Capybara does not broadly hand over your private job search materials to third-party model providers for open-ended training. AI providers may process your content to deliver the feature you asked for, such as tailoring or interview analysis, but that is different from selling your materials as training data. The product stance is that your resumes, notes, and transcripts should stay part of your workflow, not become someone else's dataset.

Question 48

Are resume share links public or searchable by Google?

Accepted Answer

Share links are meant to give access to the specific people you send them to, not to act like public portfolio pages. They are not intended to be publicly listed or used as open marketing pages. If you generate one, treat it like a private review link and share it deliberately with the people whose feedback you want.

Question 49

Are resumes, transcripts, and interview notes private by default?

Accepted Answer

Yes. By default, the workspace is private to your account and the content you create there stays inside that private workspace. Material only becomes viewable by someone else when you explicitly generate and share a review link or otherwise choose to expose it.

Question 50

What can the Chrome extension actually see?

Accepted Answer

The extension is designed to act only on supported job-application pages when you deliberately use it there. It may parse job details or insert data into application fields, but it is not intended to persistently monitor unrelated browsing. That is an important distinction: it is a workflow tool used on demand, not a broad browsing tracker.

Question 51

Can anyone on the team read my account data?

Accepted Answer

Access to user data should be limited to the small number of cases where support, maintenance, or operational troubleshooting make it necessary. The product is not designed around internal browsing of user workspaces as a casual activity. In practice, the default assumption should be that your content is private and only touched when there is a legitimate service reason to do so.

Question 52

What happens if I connect a supported integration?

Accepted Answer

When you connect a supported integration, the expectation is that Career Capybara only reads the workflow data needed to power that connected feature. If an integration is not connected, the product cannot read from that external account. The safest mental model is that connected services are opt-in and should only have the scope required to support the workflow you enabled.

Question 53

Can I turn off integrations or stop syncing later?

Accepted Answer

Yes, connected integrations should be something you can disconnect when you no longer want them active. Disconnecting stops future synced behavior from that source, while the data already in your workspace remains subject to your normal account and deletion controls. That separation helps you keep control over both the connection itself and the records already created from it.

Question 54

Do I have to use the extension to use Career Capybara?

Accepted Answer

No, the Chrome extension is an optional companion tool designed to streamline the execution phase of your search. While it offers powerful autofill and record-matching capabilities on supported job boards, the core application, resume, and interview prep workflows are fully functional on their own. You can manage your entire search directly through the main web application if you prefer.

Question 55

How does the extension know which resume PDF to use?

Accepted Answer

The extension is designed to be "role-aware," meaning it stays synced with the application record you have currently selected. When you're ready to apply, it automatically pulls the specific resume package associated with that record to ensure you're using the correct version. This connection drastically reduces the risk of accidentally uploading an outdated or generic resume to a high-priority role.

Question 56

Which browsers are supported?

Accepted Answer

The Career Capybara web application is compatible with all modern browsers, including Chrome, Firefox, Safari, and Edge. To ensure the best performance and access to all features, we recommend keeping your browser updated to the latest version. For the best "connected" experience, we suggest using Chrome as it allows you to take full advantage of our autofill extension.

Question 57

Does the Chrome extension work on all job boards?

Accepted Answer

Our extension is designed to work across the most popular job boards and applicant tracking systems, including LinkedIn, Indeed, and Greenhouse. We are constantly adding support for new sites and refining our autofill logic to handle different application formats. If you encounter a site that isn't supported yet, you can still use the extension to manually save job details to your board.

Question 58

Can I use Career Capybara on mobile?

Accepted Answer

While we do not currently have a dedicated mobile app, the Career Capybara web application is fully responsive and works great on mobile browsers. You can check your application status, read notes, and review interview prep materials while on the go. For intensive tasks like editing resumes or running mock interviews, we recommend using a desktop or laptop for the best experience.

Question 59

What should I do if autofill or job import does not work on a page?

Accepted Answer

First confirm that the page is one of the supported job application surfaces and that you have the correct application selected. If the import or fill still fails, fall back to manual save or manual entry so you do not block the rest of your workflow. Then report the site and the page behavior to support so the team can review whether the ATS structure changed or support needs to be expanded.

Question 60

Can I still use the product if I do not use Chrome?

Accepted Answer

Yes. The main web application remains usable in other modern browsers even if you are not using the Chrome extension. What you lose is the extension-assisted execution layer, not the applications, resume, and interview workflows themselves.

Question 61

Are Safari, Firefox, and Edge fully equivalent to Chrome?

Accepted Answer

For the main web app, they are generally fine for normal use. The important difference is that the extension workflow is centered on Chrome, so Chrome offers the most complete end-to-end experience if autofill and resume package execution matter to you. If you mainly want tracking, resume work, and interview prep, other modern browsers are still workable.

Question 62

What file types work best for resume upload and export?

Accepted Answer

For uploads, standard resume document formats like PDF and Word documents are the safest expectation because they are the most common job-search formats and the easiest to parse predictably. For exports, PDF is usually the cleanest final format when you are submitting to employers. If a file looks wrong after upload, it is usually worth checking the original formatting and simplifying anything unusually complex before trying again.

Question 63

What should I try if a page is stuck loading or a task seems frozen?

Accepted Answer

Start with the boring fixes first: refresh the page, reopen the affected application or module, and confirm you are still logged in. If the workflow involves the extension, re-open the extension and make sure the correct application is selected before assuming the whole system is broken. If the task still appears stuck after a clean retry, capture what you were doing and send it to support so it can be investigated as a real bug instead of a temporary UI stall.
